Matina, a product of ScamScans, Inc. ("ScamScans," "we," "us"), is a professional tool that helps licensed structural engineers capture building-inspection findings on site and turn them into formal damage-assessment reports. We take the confidentiality of your work seriously. This policy explains what information we collect, why we collect it, who we share it with, and the choices you have. By using Matina's mobile app or web dashboard, you agree to the practices described here.
Who this applies to
Matina is a professional (business-to-business) tool provided to engineers and firms. Accounts are provisioned by us directly — there is no public self-service signup. This policy covers our mobile capture app, our web review dashboard, and the services that connect them.
Information we collect
- Account & professional identity: your name, email, and the professional details you enter — such as engineer name, registration or license information, signature, and letterhead details — used to attribute and sign the reports you generate.
- Inspection content: the voice recordings, photographs, and text notes you capture on site; the transcriptions and structured findings derived from them; and the project names, zones, verdicts, and reports you create.
- Technical data: device and app-version information, log data, and diagnostic information needed to operate, secure, and troubleshoot the service.
We do not intentionally collect special categories of personal data. Please avoid capturing personal data about third parties (for example, building occupants) beyond what your inspection legitimately requires.
How we use your information
- To provide the service: transcribe your voice notes, organize findings by zone, and generate and export your reports.
- To sync your data across your devices and keep your work available offline and online.
- To maintain security, prevent abuse, debug problems, and improve the reliability of the service.
- To communicate with you about your account and important service changes.
We do not sell your personal information, and we do not use your inspection content for advertising.
AI processing
To transcribe audio and structure findings, your captured content is processed by AI and machine-learning services acting on our behalf. The AI produces transcripts and references only — it does not invent figures or zones, and the final report data is assembled by our own system for you to review and confirm. Content sent for processing is used to perform the requested task and is not used to train third-party public models where that setting is within our control.
Service providers
We rely on a small number of trusted providers to run Matina. Each is bound by contractual data-protection obligations and processes your data only to provide their part of the service:
- Cloud database, authentication, and file storage — stores your account, projects, findings, media, and reports.
- AI transcription and language processing — converts voice to text and structures findings.
- Hosting and content delivery — serves the web dashboard.
- Document processing — generates and edits the report documents you produce.
How we store and protect your data
Your data is encrypted in transit using HTTPS/TLS. Access is restricted by row-level security so that each engineer can reach only their own projects, and privileged server-side operations are limited to our backend services. We apply reasonable technical and organizational measures to protect your data; however, no method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
Data on your device
The mobile app is offline-first: it stores your captures locally on your device so you can work without connectivity, then syncs them to the cloud when you are online. Data held on your device is protected by your device's own security. Deleting the app removes its local data from that device.
Data retention
We keep your account and content for as long as your account is active or as needed to provide the service. You may ask us to delete specific content or your entire account; we will delete or anonymize it within a reasonable period, except where we are required to retain certain records to comply with legal obligations or to resolve disputes.
Deleting your account
You can delete your account at any time from Settings, in the mobile app or the web dashboard. Choosing to delete schedules your account for permanent deletion after a 30-day grace period; you are signed out immediately, and any data stored locally on your device is removed right away.
If you log back in during the 30-day grace period, you will see a banner letting you choose “Cancel deletion” to keep your account active. If you take no action, the deletion completes automatically once the grace period ends.
Once the grace period ends, your account is permanently and irreversibly deleted: all personal data, findings, media (photos and audio), and reports are erased from our systems, except for a minimal, non-identifying record we keep as evidence that the deletion occurred.
Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any of these, contact us using the details below. Because the reports you generate may be used for legal, court, or insurance purposes, some records may need to be retained where required by law even after a deletion request.
Sharing and disclosure
We share your data only with the service providers described above, with parties you direct us to (for example, when you export or send a report), or when required by law or to protect the rights and safety of people. The reports you generate and export are yours to distribute; once you share a report outside Matina, this policy no longer governs how the recipient handles it.
International transfers
Your data may be processed and stored on servers located outside your country. Where that happens, we take steps intended to ensure an appropriate level of protection for your data.
Children's privacy
Matina is a professional tool. It is not directed to children and is not intended for anyone under the age of 18.
Changes to this policy
We may update this policy as the service evolves. When we do, we will revise the effective date above, and for material changes we will take reasonable steps to notify you.
